Project Management Software for Hotel Construction

PSS has been developed since 1992 and has been employed as Project Management
Software for Hotel Construction ever since.

As Project Management Software for Hotel Construction, PSS is very useful for the
implementation of multilingual projects. Each form and each report can be called in
5 different languages. The available standard languages are German, English, French,
Spanish and Italian. The terms used are accessible for the user and can be adapted
to the locally used terms as needed. The integrated 5 languages can be replaced by
other languages after doing some translation work.
The Project Management Software for Hotel Construction PSS offers support in all
project phases from land acquisition to commissioning of the project.
The Project Management Software for Hotel Construction PSS contains modules for
budget control, cost control, work - break - down structure, integrated time
scheduling with interface to MS-Project, configuration and change management,
contract and variation order management, risk management, object data, inventory
data and marketing forecasts.
The Project Management Software for Hotel Construction PSS has been designed from
the beginning as a multi - project - monitoring program. Status reports are
available on all levels to permit a quick assessment of expected cost overruns and
savings and their origin.
The Project Management Software for Hotel Construction PSS offers a matrix structure
consisting of objects (6 hierarchical levels) and elements (3 hierarchical levels).
Status reports, progress curves and Planned/Actual comparisons are available on all
these levels.

Multi - Project - Management

The PSS software developed and employed since 1992 has been designed from the
beginning to include Multi - Project - Management techniques.
Projects can be grouped to project groups, departments and executing units. On all
of these levels status reports are available for Multi - Project - Management.
Each project can be subdivided into sub - projects, sections and sub - sections. On
each of these levels inputs of cost and budget data, object data etc. can be made.
Special reports are available for Multi - Project - Management such as color - coded
status reports and progress curves.
PSS contains engines to make comprehensive Multi - Project - Management reports
available in a matter of seconds.

Work - Break - Down Structure

PSS provides a Work - Break - Down Structure as a matrix structure composed of
objects (where?) and elements (what?). The objects contain the projects which can be
grouped by project groups and departments or subdivided into sub - projects,
sections and sub - sections. This means the Work - Break - Down Structure provides
up to 6 object levels.
The second axis of the Work - Break - Down Structure is an element structure
containing a choice of standard work packages, work items or elements. This
structure can contain up to 3 hierarchical levels.
All standard structures are accessible for the user and can be defined and altered
as needed.
All reports can be selected according to the Work - Break - Down Structure.
In the forms and reports the current position within the Work - Break - Down
Structure is marked in special fields.
The modules cost, budget, contract, variation orders and invoices contain unique
references to the Work - Break - Down Structure to permit evaluations on each level
of the WBS.

Contract Management and Claim Management

The Contract Management and Claim Management is an integral part of the PSS Software
package.
The Contract Management and Claim Management provide tools for the input and
administration of suppliers, contracts, variation orders and invoices.
Furthermore the Contract Management and Claim Management contain modules for the
administration of bonds, insurances and warranties. The bid documents, contract and
variation order documents as well as default lists (in MS-Word or MS-EXCEL) can be
attributed to contracts and be called and viewed from there.
The Contract Management and Claim Management is supported by many reports like
supplier status report, contract status report, variation orders and causes, invoice
ledgers and compilations, project status etc . To the contracts, a photo
documentation can be attributed structured according to categories to be defined by
the user (like General, Work Progress, Defaults, etc), which can be selected and
sorted according to multiple criteria.
The module invoices permits the input of normal invoices as well as cumulative
(interim), partial-final and final statements.
The Contract Contract Management and Claim Management includes the possibility to
enter contract risks (expected variation orders, variation of quantities, claims at
hand, assessment of excluded risks) which will be summarized together with the
commitment values in order to alert in time of a possible cost overrun.

Project Controlling, Budget Control and Cost Control

PSS, with its variety of modules is the ideal tool for Project Controlling, Budget
Control and Cost Control of one or a multitude of projects.

For Project Controlling, Budget Control and Cost Control PSS provides two different
structures, the budget structure and the cost structure, containing the current cost
prognosis per work package.
These two structures are dealt with by two different hierarchical bodies. The budget
and alterations thereof are controlled by the investor himself or the advisory
board. Whereas the cost prognosis is in the hands of the project team and has to be
updated with the effects of newly discovered risks whenever they are identified.
Both structures can be different from each other and be broken down in different
depth.
Each work package, however, has to be referenced in a unique way to a budget
position to guarantee precise evaluations.
An interesting feature for Project Controlling, Budget Control and Cost Control is
the possibility to attribute projects or parts of it to different clients. In this
case reports are available to monitor the commitment and payment status for each
client.
The module integrated planning with interface to MS-Project which provides links
between the work packages and the activities of the current time schedule permits
the evaluation of graphs in which cumulative curves (Planned and Actual) are drawn
up over the time axis to show trends.
Another valuable tool for Project Controlling, Budget Control and Cost Control is
the creation of What-If Time Schedules allowing the evaluation of alternatives and
their effect on the liquidity in the related progress graphs.
PSS provides many reports for Project Controlling, Budget Control and Cost Control
as well as graphs in MS-Excel and special procedures like Import of prognosis data
from MS-EXCEL, takeover of prognosis data as budget and many others. All reports in
PSS can be exported to MS-Excel.

Configuration Management and Change Management

The Configuration Management and Change Management is an integral part of PSS.
The modules for Configuration Management and Change Management contain files, forms
and reports for Definition , Specification, Details und Changes of work packages.

One very important aspect of the Configuration Management and Change Management is
the detailed and traceable capture of all changes and their effects on quality, time
and cost.
The changes of a work package configuration are entered with all details and
additionally with the name of the author of the changes and the reasons leading to
such changes. The cost effect is entered with its Best - and Worst - Case values.
The trade - off with the current cost prognosis is done automatically.
Another quite useful tool for Configuration Management and Change Management is the
photo documentation which allows the attribution of photos to each work package.
The photos can be grouped by categories which can be designed and altered by the user.
A number of reports are available for the Configuration Management and Change
Management. Definitions, Specifications; Changes can be evaluated separately and can
be selected for each position of the work - break - down structure.

Project Risk Management

The Project Risk Management in PSS consists of the input and summarization of known
risks in order to inform and alert in time the relevant bodies.
The Project Risk Management in PSS is active at two levels, at the cost prognosis
level and the contract level.
The cost prognosis provides two entry fields, one for the BEST - Case and one for
the WORST - Case, thus allowing the provision of a risk margin in each work package.
In the comment field of each record the explanations for the provision of risks may
be recorded.
With each contract one page is provided to enter contractual risks like expected
variation orders, claims at hand, quantity variation, excluded risks with their
BEST- and WORST- Case costs.
These costs will be evaluated and summarized together with the basic value of the
contract in order to assess a realistic total expected value of commitments and to
alert in time of any upcoming cost overrun.
The Project Risk Management tool proposes a trade - off between approved variation
orders and previously marked risk positions in order to keep the risk pool updated.
The Project Risk Management Tool in PSS shows the entered risk values in various
reports like e.g. the budget graphic with Best - and Worst- Case Values in green and
red.
This report compares budget and prognosis on various levels.
The risks can be read as the difference of BEST - and Worst - Case Values.
For each major element number this report shows also the value of the actual
performance in order to qualify the remaining risk in relation to the remaining
project time.

Integrated Planning with interface to MS-Project

PSS provides a module for Integrated Planning with interface to MS-Project.

The module Integrated Planning with interface to MS-Project allows to link
permanently work packages with activities in the current time schedule.
The module Integrated Planning with interface to MS-Project facilitates the
evaluation of progress curves over the time axis, showing the planned and actual
values of commitments, performance and payments as cumulated curves. Best- and
Worst- Case values are shown to enable you to qualify the remaining risks.
The module Integrated Planning with interface to MS-Project offers different
possibilities to create a time schedule:
. Entry of fixed start and end dates with each work package.
. Usage of a linked standard time schedule.
. Creation of a linked time schedule according to the work - break - down structure.
. Import of an arbitrary, user defined time schedule from MS-Project and subsequent
manual linking to work packages.

Furthermore the module Integrated Planning with interface to MS-Project provides the
possibility to create WHAT-IF Time schedules, stored in parallel with the current
time schedule.
The results of the WHAT-IF Time schedules can be shown in the progress curves
additionally to the other curves in order to quickly evaluate alternatives.

Performance Evaluation

PSS offers different methods of Performance Evaluation.
During the approval of invoices the components of an invoice will be strictly
separated into performance - related positions, referenced to a work package and
other positions like retention, advance payment, discount etc. With this procedure
it is possible to evaluate the approved performance from the approved invoices.
The second method of Performance Evaluation consists in getting the information from
time schedules in MS-Project, in which the percentages of actual performance have
been entered and updated.
The Performance Evaluation in PSS uses both resources, the approved invoices as well
as the information from updated time schedules. Most of the status reports show the
values according to approved invoices.
The Performance Evaluation is contained in many reports. The graphic with the
progress curves show both the planned values and the actual performance according to
approved invoices.
The report Contract Status shows next to the calculated performance from approved
invoices all single activities related to the contract with their related
performance percentage. The comparison of both can lead to a realistic assessment of
the actual performance or to an update of the time schedule.

Project Progress curves over time (planned and actual)

PSS provides graphics showing the Project Progress curves over time (planned and
actual) to show trends at a glance.
The related reports can generally show the data as tables or as graphics in MS-EXCEL.

The Project Progress curves over time (planned and actual) are created on the basis
of the current time schedules and the cost values of the linked work packages.
The PLANNED COST are taken from the BEST- and WORST - Case Values of the cost
prognosis and distributed according to the selected distribution model (linear,
"S"-Curve, etc.) over the time span of the linked activities of the current time
table.
The ACTUAL COST are taken from the approved invoices and cumulated at the issuing
date of the invoice.
The Project Progress curves over time (planned and actual) can be displayed for
commitments, performance and payments.
Additionally, the original values, the values of the last quarter or the values
according to an existing WHAT - IF timetable can be shown.
The Project Progress curves over time (planned and actual) can be called at any
object level and can be selected by element groups and within certain time limits.
The values can be displayed as histogram or as cumulative curves. All values can
also be shown as tables.

For the experienced user, the Project Progress curves over time (planned and actual)
are the most important element for a quick evaluation and trend analysis of the
project.
